What is Personal Information and why do we collect it?

Personal Information (PI) is information or an opinion that identifies an individual. Typical examples of PI we collect include names, ranks, positions, titles, organisations, official/work addresses, official/work emails, official/work phone and facsimile numbers. Above all we do not seek, ask for, or collect, and we take all possible and practical steps to avoid collecting, any PI relating to private residential addresses, private telephone and facsimile numbers and private email addresses, including private social media identifiers, handles and addresses.

As a result, your PI can be obtained in several ways, from conversations, meetings, and correspondence including telephone, facsimile and email; via our website www.defcon.com.au (including from cookies); from your organisation’s own website; the media, news and publications; from other publicly available sources and from third parties.

Sensitive Information

Sensitive Information (SI) is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record and health, genetic and biometric information.

We do not seek, ask for, or collect SI, and take all possible and practical steps to avoid collecting any PI that could also be regarded as Sensitive Information.

We collect your PI for the primary purpose of providing our goods and services to you, providing information to our clients and stakeholders and for sales, marketing and business research purposes. We may also use your PI for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.

You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.

When we collect PI and where appropriate, practical and possible, and upon written request, we will explain to you why we are collecting the information and how we plan to use it.

Third Parties

Furthermore where reasonable to do so we will collect your PI only from you. However, in some circumstances, we may be provided with information by third parties. In such cases, we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Your PI is stored in a secure manner to protect it from the misuse/loss and from unauthorised access, modification or disclosure.

Access to your Personal Information

You may access the PI we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your PI, please contact us in writing.

Defcon Technologies Group will not charge any fee for your access request but may charge an administrative fee for providing you with a copy of your Personal Information.

In order to protect your PI we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is important to us that your PI is up to date. As a result, we will take reasonable steps to make sure that your PI is accurate, complete and up-to-date. In the event the information we have is inaccurate, please advise us immediately so that we can update our records to ensure we can continue to provide quality goods and services.
